New Matter Intake Coordinator
LOCATION: Troy, Michigan
GENERAL PURPOSE: Butzel is seeking a highly organized and detail-oriented individual to join our New Matter Team as a New Matter Coordinator. This role is essential to the robust onboarding and management of new legal matters, maintaining accurate rate structures, and ensuring operational excellence through regular reviews and data integrity. The ideal candidate is a meticulous and collaborative professional who thrives in a structured environment and is committed to precision, data accuracy, and continuous process improvement.
MAJOR RESPONSIBILITIES:
Matter Intake & Management
- Initiate and process new matter intake forms, ensuring compliance with firm protocols.
- Process and manage New Client/Matter supplementals and secure necessary approvals.
- Open and close matters in the firm’s case management system.
- Maintain accurate and up-to-date matter records, including client guidelines and engagement documentation.
Rate Structure & Billing Oversight
- Update and maintain rate structures across billing platforms.
- Monitor and document rate overrides, ensuring proper authorization and compliance.
- Collaborate with finance and billing teams to ensure accurate client invoicing.
Job Queue Monitoring
- Input and track tasks in the firm’s job queue system.
- Monitor workflow progress and flag delays or inefficiencies.
Annual Reviews & Audits
- Conduct annual reviews of open matters to assess status, billing activity, and closure eligibility.
- Perform annual audits of rate overrides and ensure documentation is complete and compliant.

EDUCATION, EXPERIENCE, AND/OR TRAINING:
- Law firm experience preferred but not required
- Proficiency in iManage, Excel and Legal Accounting software.
- A college degree is valued but not required.
