Imaging Technician/Conference Center Coordinator
LOCATION: St. Joseph, MI
GENERAL PURPOSE:
The Imaging Technician/Conference Center Coordinator supports the efficient operation of the St. Joseph office by managing document imaging and file maintenance, coordinating conference center activities, and welcoming clients and visitors. The position also supports legal assistants and other administrative departments and provides visitors with general information about the Firm.
MAJOR RESPONSIBILITIES:
- Scan and index documents accurately in the Firm’s document management system, reviewing each document for completeness, legibility, and correct filing.
- Maintain paper and electronic files in accordance with Firm procedures.
- Coordinate conference and meeting room reservations based on room capacity, technology needs, and other meeting requirements.
- Coordinate office meetings and events, including room setup, catering, and related support.
- Answer, screen, and forward incoming calls.
- Maintain supplies for the reception area, kitchens, and conference rooms, and ensure these areas are clean, organized, and appropriately stocked.
- Greet guests, monitor visitor access, and follow established office security procedures.
- Notify the appropriate attorney or staff member when a visitor arrives and direct the visitor to the correct location.
- Track incoming hand deliveries and notify the appropriate attorney and legal assistant upon receipt.
- Provide administrative support as needed, including conducting conflict checks, opening new matters, preparing documents, filing, copying, scanning, and processing materials for mailing or court filing.
- Collaborate with members of other administrative departments as necessary.
- Perform additional tasks and responsibilities as required or assigned by management.
SKILLS AND ABILITIES:
- Professional verbal and written communication skills, with strong attention to detail.
- Ability to work effectively both independently and collaboratively with minimal supervision.
- Proficiency with Microsoft 365 applications, including Outlook, and the ability to learn document management, scheduling, telephone, and matter-opening systems.
- Dependable, proactive, and committed to providing responsive support while handling confidential and sensitive information with discretion.
EDUCATION, EXPERIENCE AND/OR TRAINING:
- High school diploma or equivalent and one to two years of administrative, reception, records, or customer-service experience. Experience in a legal or professional-services environment is preferred.
